Editing Email Templates Part 1

The email editor is a powerful tool with a lot of options for designing your outgoing email content.

To keep things simple for training, we’re going to split the editor up into two sections:

  1. Template Parameters
  2. Body Content

The top half of the editor controls the basic template parameters, and any file attachments that will go out with the template.

Like most elements of the system, the template requires an owner; in this case it also requires us to specify a permission level to decide if the template will be visible to the entire company, a list of team mates, or just to you (individual). If you do not want anyone else using the template as part of their marketing, set the permission to individual.

The subject, of course, is what will appear as the subject in the recipient’s inbox. The CC field gives you the chance to CC additional recipients when the template is sent, though obviously you need to be careful with this. Carbon copying is generally only done with select emails, typically to inform someone within your organization when a specific email is sent.

The From field can be approached one of two ways. If it is left blank, it will automatically insert the email address from the currently logged in user’s Personal Information (which is one of the places it comes in handy). This is very useful if you want to set up a series of generic company templates, because it will automatically supply the return address for the right employee. If a From address is specified, then all replies received from that template will go to that address.

Attachments can be added to the template, but must first be uploaded to the Files tab. Review the Files tab section of this guide if you have additional questions. Once the files are uploaded to the repository, they can immediately be attached to an email template. This is a nice time-saving feature, since once a file is attached to the template it stays there permanently. Any time that template is sent, the same file attachment goes with it, so the user doesn’t have to remember to attach the needed file.
