Response Loop Setup - Advanced Options

After setting the basic options and saving, the Response Loop opens our advanced options and action interval trees.

The interval trees give us the chance to specify the actions we want and when we want them to take place. By far the most common action is to Send Email, which sends an email to the contact, but of course any of the actions and intervals may be appropriate depending on our strategy.

The trick to making the process run correctly is to remember that the interval is a time frame that happens after the trigger. Thus, if our Interval Type was set to Days, and we were looking at Interval 0 in our actions tree, then we would be looking at “Day 0,” or the actions that would take place on the same day the trigger starts. If we change the interval to Interval 1, then we are looking at the interval one day after the trigger, Interval 2 is two days after the trigger, and so on.

Once you’ve selected the interval and action to take place, you’ll need to click the Save Campaign and Selected Interval button to update the changes. As you continue to add new intervals and actions, the Response Loop will begin to show you a running history of each interval for visual reference.

Setting the Initiate and Terminate Triggers

Once you have the actions and intervals in place, the final step is to create the specific activities that will initiate and terminate our Response Loop.

Keep in mind that the triggers can only be linked to specific fields or criteria. These criteria are:

  • Record Owner
  • Industry
  • Lead Source
  • Rating
  • Campaign
  • Created By (Specifies a specific user)
  • Billing State
  • Billing Country
  • Time Zone
  • Area Code
  • SEO logged fields (ad, keyword, search engine)

The only options other than the standard items shown are custom dropdown fields. Custom text, date, address, phone, email, or other types of custom fields are not valid options to trigger an Response Loop campaign.

To begin editing the initiate or terminate options, click the Edit Criteria link to the right of the Enter/Exit dropdown that correlates to the trigger. This will pop up the criteria selection window.

If you’ve ever used the InsideSales.com™ Power Dialer tool, you may have gone in and set up a dialer initiative, which uses a series of filters to manage the lists of leads that are included in calling activity. The Response Loop uses a similar process for managing its triggers for initiation and termination. Depending on how the Response Loop is set up, when a record either enters or exits the specified initiation, the Response Loop wakes up and goes to work performing our specified intervals. In the example shown the initiation is set to the Lead Status being equal to Open, and the Campaign being equal to Business / Finance.

As we mentioned in the basic options section of the Response Loop guide, the most common initiation filter is the record's main status, usually indicating that a key workflow parameter has been met. The Response Loop then terminates if or when the lead enters one of a different status, indicating a change in the workflow process.
